Bod Meeting Agenda for April 4. 2004
Discuss Meeting Coordinator:
Sally and I will jointly try to fulfill the role of Meeting Coordinator. But with that said, I will be tapping a few of you for doing a presentation, demonstration, or presenting a DIY project.
Commercial Posts
Discuss and vote on action plan for dealing with Commercial Posts. Discuss the possible ramifications of such plans. Discus guidelines for determining commercial posts and guidelines for what Sponsors may or may not post (to be put in writing and made part of the Sponsorship package) that are compliant with TRT rules/guidelines.
Sponsor approval
Whether the BOD should approve or not who is a Sponsor
Central Meeting Location
Discuss determining a central/neutral meeting location for general meetings for when we have a guest speaker or for when we dop not have a LFS or persons home to hold the meeting at
Conflicts of Interest
Have a general discussion on conflicts of interest in regards to the ARC.
Review status of getting big name speakers
Gather a list of names. Review status of getting
Martin Moe and Sanji.
Discuss Web site: upkeep, potential redesign, future capabilities:
I've asked Sammy and Chris to arrive an hour prior to the BOD meeting to gather and discuss their ideas. Any BOD member that would like to be part of that initial meeting is welcome. At the BOD meeting, we'll discuss BOD's vision and goals and ideas from Sammy and Chris.
Club Credit Card:
I have made an application for a club credit card. Now awaiting bank approval.
Membership Participation
Discuss methods for getting the members of the ARC more involved with the club.
Power Buy Guidelines
Discuss and approve the guidelines for power buys.
Tax Return: status
Thus far I have received conflicting info about whether the club need to file one. I am waiting to hear back from a CPA. I have placed all of the 2003 and YTD transactions on Quicken and reconciled the bank account.
2004 Spending Plan
Based on Club Goals, discuss what are the required and discretionary expenses to continue running the club.
Discuss Club Goals and Vision
Another BOD thread contains the goals/vision thus far.
Discuss requirements for future elected officials
Discuss whether we need to have possible requirements for future BOD members and elected officials (i.e.: such as where they live).
Newsletter
Discuss adding a “email sign up” to the ARC website for non-members to be able to sign up for receiving the newsletter.
Discuss doing an auction of drygoods and live corals late this yr
This would be an attempt to mimic the AAAA's successful bi-annual auction.
2004 ARC Calendars:
Still have 13 calendars out of 50 the initially ordered. I mailed a calendar to both Don of Kent and Rusty of Seachem this week. I will review distribution list to ensure that every sponsor has received theirs and that every winning contestant has his or hers. Propose for discussion to give 5 (total) away at April and May's meeting, hold back 3 for potential Sponsors and sell the rest on ebay for club publicity and recouping money spent.
2005 ARC Calendar
Propose to start another contest. Propose that submissions run from June thru July; judge in August; and sell in Sept/Oct.
MACNA
Discuss immediate and future plans in regards to MACNA, including joining MACNA and sending delegates to MACNA.
